for participation in the exhibition IDFA Meets Art Collective For Peace

Organized by: Art Collective For Peace (ACFP), in collaboration with IDFA
1. General
1.1 These terms apply to all artists (“participants”) who apply for or are selected to participate in the exhibition as part of the event “IDFA Meets Art Collective For Peace – Protest,” organized by ACFP in collaboration with IDFA.
1.2 By applying for this exhibition, the participant agrees to these terms and conditions.
2. Selection Procedure
2.1 ACFP reserves the right to review submissions and make a selection of the artworks that will be displayed during the exhibition.
2.2 The decision of the selection committee is final and not subject to appeal or objection.
2.3 If a work is not selected, the participant cannot derive any rights or claim compensation.
3. Ownership and Responsibility
3.1 The participant retains full ownership of the artwork unless it is sold.
3.2 The participant remains responsible for the artwork throughout the entire period, even when it is physically located at the Documentary Pavilion or held by ACFP/IDFA.
3.3 ACFP and IDFA are not liable for any loss, theft, or damage to the artwork, regardless of the cause (including fire, vandalism, or other unforeseen incidents), unless there is intent or gross negligence on the part of ACFP or IDFA.
4. Delivery and Pickup of Work
4.1 The participant is responsible for the timely and proper delivery and collection of the artwork.
4.2 Unsold works must be collected no later than September 25, 2025, unless otherwise agreed.
4.3 ACFP and IDFA are in no way responsible for works that are not collected on time.
5. Sales Conditions
5.1 If a work is sold, the sale is final and the transaction is binding.
5.2 Upon sale during the IDFA meets ACFP event, 50% of the proceeds will be paid to the participant and 50% will go to one of the charities amongst the selected charities by ACFP, unless the participant has indicated in advance a willingness to donate a higher percentage.
5.3 The sales price will be determined in advance and confirmed in writing by the participant.
5.4 After a sale, ACFP will contact the participant regarding invoicing and payment.
5.5 By participating, the participant grants ACFP the right to offer the work through its webshop, provided the participant has agreed to this. Please note that if you choose to donate your work to us (to have it sold on the website) 100% of the proceeds will go to the selected charity.
6. Refusal and Removal of Work
6.1 ACFP and IDFA reserve the right to refuse or remove a work, even after selection, if it is found to be inconsistent with the event’s theme, curatorial vision, or organizational values.
6.2 This applies in particular to works that may be perceived as offensive, explicitly violent, polarizing, or that pose safety risks.
6.3 In such cases, the participant cannot claim any compensation, damages, demand exposure or publication.
7. Use of Images and Artist Profile
7.1 ACFP and IDFA obtain the non-exclusive right to use images of the artwork and the artist for promotional purposes in the context of the event, both online and offline.
7.2 The participant agrees to the use of their name, artwork, portrait photo, biography, and artwork description in communications and promotional materials.
8. Intellectual Property
8.1 The participant guarantees that the submitted work is original and does not infringe on any third-party rights.
8.2 Any claims made by third parties regarding copyright or other rights are the sole responsibility of the participant.
9. Force Majeure and Cancellation
9.1 If the event is canceled or altered due to force majeure (including pandemics, government measures, or other unforeseen circumstances), ACFP and IDFA cannot be held liable.
9.2 In such cases, ACFP will strive to offer an alternative exhibition format or date, in consultation with participants.
10. Final Provisions
10.1 In all cases not covered by these terms, ACFP will decide.
10.2 These terms are governed by the laws of the Netherlands.
10.3 Any legal disputes will be submitted to the competent court in Amsterdam.
